Role Overview: We are seeking a proactive Insurance Analyst/Specialist to join our growing team. In this role, you will assist in managing the subcontractor database, ensuring that every subcontractor is fully credentialed, insured, and compliant with company standards. You will balance data management with communication among the team, leadership and field operations.

What you’ll do

Subcontractor Lifecycle & Renewals

  • End-to-End Renewal Management: Assist with onboarding new companies and managing the renewal cycle for a network of 400+ active subcontractors.

  • Status Oversight: Proactively manage status changes to prevent non-compliant vendors from operating.

  • Monthly Renewal Communication: Execute the communication schedule to ensure all renewal notices are dispatched ahead of deadlines and rigorously follow up on policy expiration dates.

Compliance & Risk Mitigation

  • Insurance Tracking: Maintain renewal insurance certificates (COIs) and policies through compliancy.

  • Escalation Management: Identify expired policies, exclusions, and other discrepancies and escalate risks to VPs to ensure project continuity and corporate safety.

  • Credentialing & Badging: Oversee the dedicated "Badges" inbox. Coordinate with subcontractors to identify on-site personnel and ensure all badge documentation is submitted and verified.

Data Management & Automation

  • Smartsheets: Manage term dates and real-time updates for subcontractor data.

  • Database Hygiene: Continuously optimize the process for transitioning subcontractors to "Inactive" status to keep the active database lean and accurate.

What you’ll need

  • Experience: 2+ years in insurance, and compliance, risk management, or subcontractor procurement.

  • Technical Skills: Proficiency in Smartsheets (including automations and formulas) is highly preferred.

  • Insurance Knowledge: Strong understanding of commercial insurance policies (General Liability, Auto, Workers’ Comp, Umbrella) and Certificate of Insurance (COI) review processes.

  • Communication: Exceptional written and verbal communication skills; ability to hold vendors and internal stakeholders accountable.

  • Organization: High capacity to manage repetitive monthly cycles while handling ad-hoc escalations.
