The Office Coordinator provides administrative and operational support to a telecom construction field office, helping ensure that projects, field personnel, subcontractors, vendors, and office activities run efficiently. This position serves as a key point of communication between field crews, project management, customers, vendors, and the corporate office.

 

The ideal candidate is highly organized, detail-oriented, comfortable working in a fast-paced construction environment, and able to manage multiple priorities while maintaining accurate records and documentation.

What you’ll do

  • Assist with daily operations of the field office, including phones, email, correspondence, filing, and general administrative duties.
  • Maintain organized electronic and physical project files.
  • Prepare, format, distribute, and track project-related documents and correspondence.
  • Provide administrative support to Project Managers, Construction Managers, Superintendents, and field personnel.
  • Track project documentation, including work orders, permits, inspection records, daily reports, material deliveries, and closeout documentation.
  • Collect and organize daily field reports, timesheets, production reports, photographs, and other field documentation.
  • Assist with preparation and processing of purchase orders, invoices, change orders, and subcontractor documentation.
  • Performing other various clerical duties as assigned by Supervisor

What you’ll need

  • High school diploma or equivalent required; additional education in business administration, construction management, or a related field is a plus.
  • 2+ years of administrative, office coordination, construction administration, or project support experience preferred.
  • Experience with SAP is preferred. Familiarity with SAP systems, processes, and applications is a plus
  • Strong organizational and time-management skills.
  • Proficiency with Microsoft Office, particularly Outlook, Word, and Excel.
  • Ability to learn and work with project management, document management, timekeeping, and construction software.
  • Strong attention to detail and accuracy.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
  • Professional and effective communication with employees, customers, subcontractors, and vendors.
  • Ability to work independently while also functioning effectively as part of a field operations team.
