Short Description
We are looking for a dependable and detail-oriented Administrative Assistant to join our telecom operations team. This position plays a key role in supporting field crews, project managers, and leadership by coordinating essential logistics, documentation, and reporting. The ideal candidate will have a proactive attitude, strong computer and communication skills, and the ability to manage multiple moving parts in a fast-paced utility construction environment.
What you’ll do

Call in Blue-Stake Tickets and manage One-Calls to ensure safe excavation and utility compliance.

Set up and track hotel accommodations for traveling crews and field personnel.

Assist with Production Tracker updates, maintaining accurate daily and weekly progress logs.

Support billing and invoicing processes by organizing documentation and verifying quantities.

Track purchase orders, materials, and inventory, ensuring timely reconciliation with project needs.

Assist with fleet management—coordinate vehicle service schedules, maintenance records, and tool tracking for field operations.

Maintain and update databases and internal tracking systems with accuracy and attention to detail.

Coordinate calendar and scheduling for meetings, site visits, and company events.

Assist with conference and training logistics, including materials and travel arrangements.

Communicate effectively across departments to support project and office functions.

Assist with creating KMZ/KML files for projects.

Must be organized, adaptable, and proficient in Microsoft Office (Excel, Word, Outlook, and Teams) and Google Docs (Google Meet, Google Earth, etc.).
What you’ll need

2+ years of experience in administrative support, preferably within telecom, construction, or utility industries.

Strong understanding of project coordination and field-support operations.

Excellent written and verbal communication skills.

Proficiency in Microsoft Office Suite and comfort working with databases and shared cloud systems.

Ability to work independently and prioritize tasks in a deadline-driven environment.

Professional demeanor with strong attention to detail and follow-through.

Preferred familiarity with Blue-Stake / 811 systems, production tracking, or fleet management tools.

Preferred experience assisting with billing, invoicing, and purchase order tracking in a construction or telecom setting.
