North Sky Wireless is seeking an organized, detail-oriented, and proactive Project Coordinator to join our team in Vancouver, WA. This role is central to managing daily project workflows, keeping critical project data accurate, and ensuring flawless communication between field crews, project managers, subs, vendors and clients.

What you’ll do

Project Workflow & Tracking

  • Manage daily project tracking, scheduling, ensuring all milestones, timelines, and deliverables are meticulously updated across company and industry databases.
  • Work with Accounts Receivable and the Billing Department to make sure all revenue is accounted for and accurate
  • Building job packets for field team
  • Coordinate work completion with field team in order to prepare packets to submit to billing
  • Prepare invoices
  • Coordinate the end-to-end workflow of wireless projects, from initial routing and permitting to final closeout documentation.
  • Review, organize, and input high volumes of technical field data, photos, and closeout packages with a strict focus on accuracy.

 

Communication & Follow-Up

  • Serve as the primary hub for back-and-forth communication between project managers, field supervisors, subcontractors, and clients.
  • Execute rigorous, proactive follow-ups on missing deliverables, documentation, or client approvals to prevent project bottlenecks.
  • Maintain comprehensive paper trails of project changes, approvals, and material requests.

 

Administrative & Software Support

  • Utilize Microsoft Office (especially Excel) Smartsheet and Google Workspace daily to create reports, track budgets, and manage documentation schedules. Other software may be utilized depending on the project.
  • Verify the accuracy and perform quality checks of the various payroll, production, and billing information
  • General office duties
  • Adapt quickly to internal proprietary software systems and client-specific databases to input and retrieve project updates.

What you’ll need

  • 2+ years of recent experience in project coordination, project administration, or a heavily detail-oriented administrative role (telecom, utility, or construction industry experience is highly preferred).

  • Advanced Digital Literacy: Strong proficiency in the Microsoft Office suite (specifically advanced Excel functions, tracking sheets, and data management) and Google Workspace. Technicial writing skills are a plus!

  • Database Management: Demonstrated experience navigating, updating, and maintaining data integrity within industry-specific databases, CRMs, or tracking systems.

  • Communication & Follow-up: Exceptional written and verbal communication skills. Proven ability to confidently handle heavy back-and-forth communication and follow up relentlessly until a task is resolved.

  • Technical Adaptability: A fast learner with a proven track record of picking up new digital tools, tracking systems, or proprietary company software quickly.

  • Organization: High capability to manage multiple shifting priorities simultaneously without allowing details to drop through the cracks.

The wage range for Project Coordinator is $25.00  - $29.00.
