We are seeking an organized, detail-oriented Administrative Assistant / Project Coordinator to join our team in Tualatin. In this administrative role, you will be part of the backbone of our office operations, providing crucial support for project tracking, administrative management, and field team alignment.

You will work closely in helping support project Close-outs and follow up tasks and directly support our Division that does Structured Wiring and Tower.

What you’ll do

  • Project Close-outs: Manage the complete project close-out lifecycle, ensuring all final deliverables, as-builts, testing data, permits, and documentation are accurately compiled, verified, and delivered to clients on time.

  • Division Support: Provide dedicated operational and administrative assistance to our Structured Wiring and Tower crews, helping coordinate resources, track project milestones, and manage materials or scheduling updates.

  • General Administrative Tasks: Handle daily office operations including answering phones, routing emails, managing physical and digital filing systems, processing mail, and ordering office supplies.

  • Data & Tracking Management: Update internal tracking databases and spreadsheets to ensure all project statuses, cost codes, and crew logs remain completely accurate.

  • Cross-Functional Collaboration: Act as a reliable point of contact between field technicians, division managers, and corporate administrative personnel.

What you’ll need

  • Experience: 1–3 years of experience in an administrative assistant, project coordinator, or office assistant role (experience in telecommunications, utilities, or construction is a major plus).

  • Organizational Skills: Exceptional attention to detail with a proven ability to manage multiple overlapping project close-outs without losing accuracy.

  • Technical Proficiency: Strong command of Microsoft Office Suite (Excel, Word, Outlook) and Google (Gmail and Google Sheets) and comfortable learning specialized internal project tracking systems.

  • Communication: Clear, professional verbal and written communication skills to effectively collaborate with project managers, field crews, and corporate teams.

  • Problem-Solving: Proactive attitude with the ability to work independently and troubleshoot administrative blockers under tight deadlines.

  • Reliability & Dependability: High level of personal accountability with a proven track record of excellent attendance, punctuality, and the ability to consistently meet critical project close-out deadlines.
