The Accounts Payable Specialist will provide clerical and administrative services to ensure efficient, timely and accurate payment of accounts. Will also be responsible for being backup processor for Payroll and Acount Receivables.

What you’ll do

  • Receive batch invoices from field offices and load into accounting system
  • Match deposit data to invoices and apply payments
  • Research and resolve any discrepancies with field offices or customers
  • Process adjustments
  • Perform account reconciliations
  • Create weekly transaction reports (A/P summary, aging report, retainage summary)
  • Compile monthly and quarterly transaction summaries
  • Review invoices for signatures, verify purchase order, invoice # and amounts
  • Clarify discrepancies or obtain missing information from field offices
  • Run cash requirements report and select invoices to be paid each week
  • Generate check and ACH preview and submit for approval
  • Print approved checks and ACH
  • Prepare weekly and monthly transaction reports
  • Processing of payroll and running associated reports
  • Perform regular scanning and filing of accounting documents
  • Adhere to all company policies, procedures, standards, guidelines, and requirements
  • Ensure completion of work responsibilities and special projects in accordance with the designated timeframe
  • Adhere to Company ethical requirements, demonstrating the utmost integrity in all professional and personal matters
  • Provide controller with feedback, ideas and suggestions.
  • Perform all other duties as assigned 

What you’ll need

  • High School Diploma or equivalent
  • Must have a valid driver license
  • General experience in A/R or A/P related work
  • 1-3 years of accounting and payroll experience
  • Must be able to effectively communicate with crew.
  • Maintain a positive attitude with team.
  • Maintain good public relations (interact with the public in a courteous manner)
  • Proficient in Microsoft Office including Word, Excel and others as needed
  • Previous experience working with accounting software, preferably Solomon
  • Ability to multi-task
  • Basic ability to use standard office equipment (printer, fax, computer, scanner)
  • Keep appropriate documentation (time cards, job cost, etc.)

  • Duties outlined in this position will require the employee to stand, crouch, sit, bend, use hands and fingers to handle or feel as well as reaching with hands and arms to spaces both high and low. The employee will be standing, walking, climbing, balancing, crawling, crouching, lifting, holding or stooping while on shift.
  • The noise level in the work environment for this position is moderate. This position will be out in the field on job sites as well as in the office.
  • Employees performing functions of this position are regularly exposed to outside weather conditions which can include but is not limited to: extreme heat and cold temperatures; inclement weather such as rain, snow, sleet and dust as well as adverse driving conditions including wet roads, icy roads, and fog.
  • Employees performing these job functions are required to lift or move up to 10 pounds and frequently lift or move up to 50 pounds.
  • Employees in this job classification may be exposed to dust, fumes or other airborne pathogens.
  • Employees may be exposed to toxic or corrosive chemicals as well as moving machinery parts and pieces.
  • Specific vision abilities required to perform this job include but are not limited to: close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus potentially near and/or far as needed.

Pay Range: The hourly wage range for the Specialist Accounts Payable role is $22.00 - $27.00 depending on experience.
