At Professional Teleconcepts, we are seeking a highly organized and proactive Operations Administrator to serve as the administrative backbone for our data center and hyperscaler infrastructure projects. This role focuses exclusively on supporting the operations team—including Project Managers, Foremen, and field technicians—by ensuring all backend processes run seamlessly.

The Operations Administrator will manage daily administrative workflows, from coordinating field crew logistics and site access to processing document control for complex project closeouts. By driving efficiency in procurement tracking, timesheet management, and cross-departmental communication, you will enable our field teams to remain focused on delivering critical low voltage and fiber optic infrastructure.

 

The ideal candidate should be located in the Columbus, OH area as this role requires daily in office work.  The pay range is $20-$25.00 per hour depending on experience.

What you’ll do

Essential Functions

  • Document Control & Closeouts: Compile, organize, and format highly technical project documentation, including fiber test results, site photos, daily progress reports, and submittals, to generate comprehensive final closeout packages for hyperscaler clients.

  • Site Logistics & Badging: Manage the complex onboarding and site access processes for field crews, securing necessary security clearances, managing data center badging applications, and coordinating travel or lodging arrangements.

  • Procurement & Inventory Support: Assist project managers with material tracking, ordering standardized PPE, replacing field tools, and reconciling vendor delivery tickets against original purchase orders.

  • Payroll & Timesheet Administration: Collect, review, and process weekly timesheets from multiple field crews and foremen, ensuring hours, shift differentials, and project cost codes are accurately recorded before submitting to HR/Finance.

  • Operational Communication: Act as the primary internal liaison between the corporate office (HR, Finance, Procurement) and the deployed field teams, rapidly resolving administrative roadblocks so crews can maintain project schedules.

Knowledge, Skills, and Abilities

  • Organization & Multitasking: Exceptional organizational skills with a proven ability to juggle multiple competing priorities, urgent field requests, and strict administrative deadlines.

  • Software Proficiency: Advanced proficiency in Microsoft Office and Google Workspace (especially Excel/Sheets for data tracking), with a strong aptitude for learning project management or ERP software (e.g., Procore, Smartsheet).

  • Communication: Clear, professional verbal and written communication skills, capable of interacting effectively with corporate executives, vendors, and field technicians alike.

  • Attention to Detail: High standard of accuracy in data entry, document formatting, and payroll processing. Familiarity with basic construction or telecommunications terminology is a strong plus.

Work Environment & Physical Demands

  • Setting: This is an office-based position working in a professional corporate environment.

  • Hours: Standard business hours (e.g., Monday to Friday, 8:00 AM – 5:00 PM), with occasional flexibility required to support field teams working in different time zones or during critical project milestones.

  • Physicality: Minimal physical demands; primarily involves remaining in a stationary position, extensive computer use, and occasionally moving light office supplies or file boxes.
