The administrative assistant helps with various tasks around the office including, but not limited to, running reports, organizing paperwork, answering phones, etc.

What you’ll do

  • Create Purchase Orders/Receive Purchase Orders
  • Process company credit cards
  • Input data into systems
  • Answer phones, scanning, copying
  • Track and organize credit card transactions
  • Filing as necessary; set up and maintain files
  • Print/Scan/Record Job Applications
  • Keep information accurate and make necessary corrections
  • Process I9 papers on Subcontractors
  • Contribute to team efforts to achieve results as required
  • Respond to emails/create emails
  • Other duties as assigned
  • The employee shall follow all safety rules at all times and not engage in unsafe acts
  • The employee is expected to attend and participate in all safety meetings and training
  • The employee shall use all prescribed safety equipment that is required to safely do the job at hand
  • The employee shall report unsafe acts or conditions to his or her immediate Supervisor or Safety Personnel
  • The employee shall report any and all injuries, accidents and/or incidents immediately their immediate Supervisor

What you’ll need

  • Two to three years’ previous experience in a clerical position. High school diploma or GED required.
  • Working knowledge of Microsoft Office applications, including Word and Excel.
  • To perform this position successfully, an individual must be able to perform each essential duty satisfactorily.  Needs the ability to plan, prioritize and organize effectively; and the ability to communicate effectively and professionally with all staff. This position requires the ability to organize, multi-task, prioritize and re-prioritize daily workload and work with minimum supervision and the ability to meet deadlines, establish deadlines, and to prioritize deadlines.
  • This position requires the verbal and written ability to communicate in English with coworkers, customers and the general public.  This position requires a skill set in writing grammatically correct routine business correspondence, editing correspondence to correct grammar, spelling and punctuation.  This position requires the ability to speak clearly and distinctly using appropriate vocabulary and grammar.
  • General computer knowledge required. This position requires advanced proficiency in Microsoft Office to be able to prepare business correspondence, including standard business letters, spread sheets, and table/graph/chart formatting to prepare materials with speed and accuracy.
  • This position requires the following abilities: common sense understanding to carry out instructions furnished in written, oral, or diagram form; to exercise judgment to solve operational problems where the answer is not apparent; to deal with problems involving several concrete variables in standardized situations; and to distinguish between general audience information and confidential information and to maintain confidentiality at all times.
