VCI Construction, LLC is a premier Southwest contractor specializing in turnkey telecommunications and utility construction.  We are seeking an organized, proactive, and detail-oriented Office Manager to serve as the central hub of our construction company's administrative operations. The Office Manager ensures smooth day-to-day office functions, supports project teams, maintains critical documentation, coordinates between field and office personnel, and contributes to efficient project delivery in a fast-paced construction environment.  This role requires strong multitasking abilities, construction industry familiarity (quick learning ability), excellent communication skills, and the capacity to handle sensitive financial, contractual, and compliance-related tasks.

What you’ll do

  • Oversee daily administrative procedures, maintain office systems, and implement new protocols to improve workflow efficiency.

  • Schedule with vendors for cleaning, security, and maintenance. Manage the office layout, equipment procurement, and overall workplace safety and compliance.

  • Coordinate management schedules, travel arrangements, and internal meetings. Act as the primary point of contact for visitors and incoming communications.

  • Manage office budgets, process invoices, track expenses, and coordinate with accounting for payroll adjustments.

  • Coordinate with customers' billing expectations and milestones.

  • Maintain physical and digital filing systems, ensuring data security and confidentiality. Produce management-level reports and presentations as required.

  • Being flexible enough to handle changes in policy or unexpected facility issues and show leadership to the team broadly.

  • Ability to work independently and anticipate problems before they arise.

What you’ll need

  • 4+ years of office management or administrative experience, preferably in construction, general contracting, or a related field (e.g., architecture, engineering, property development).

  • Excellent written and verbal communication skills with the ability to interact professionally with diverse stakeholders (field crews, executives, clients, subs).

  • High School diploma/GED required; Bachelor’s degree in Business Administration or a related field preferred.

  • Advanced proficiency in MS Office Suite (Word, Excel, Outlook) and / or Google Suite (Sheets, Docs, Slides, etc.).

  • Proven ability to supervise staff, delegate tasks effectively, and mediate workplace conflicts.

  • Exceptional time management and the ability to multitask in a fast-paced construction environment.

  • Strong verbal and written skills for professional correspondence and cross-departmental coordination.

  • Proven organizational and multitasking abilities in a deadline-driven environment.

  • High level of attention to detail and accuracy (especially with financial and contractual documents).

  • Ability to maintain confidentiality and exercise sound judgment.
