The Executive Administrative Assistant provides high-level administrative, operational, and confidential support to the executive leadership team within a fast-paced telecom construction environment. This role serves as a central point of coordination across departments, ensuring efficient executive operations, professional front office management, and strict confidentiality.

This position requires a stoic, composed, and highly professional individual who leads by example, exercises sound judgment, and maintains discretion at all times.

What you’ll do

Executive Support

  • Manage complex executive calendars, meetings, travel arrangements, and logistics
  • Prepare reports, presentations, correspondence, and executive communications
  • Coordinate internal and external meetings, events, including agendas and follow-ups
  • Act as liaison between executives and internal/external stakeholders
  • Screen communications and prioritize executive time effectively
  • Maintain strict confidentiality of sensitive business, legal, and personnel information
  • Support strategic initiatives and special projects as assigned
  • Perform other duties as required

Contract & Lease Administration

  • Review, track, and manage telecom construction contracts, vendor agreements, and site leases
  • Assist with lease, renewals, compliance tracking, and documentation
  • Coordinate with legal, project management, and finance teams on contract requirements
  • Maintain organized contract and lease records (physical and digital)
  • Monitor deadlines, deliverables, and compliance obligations
  • Support audits and documentation requests
  • Perform other duties as required

Front Office & Team Oversight

  • Directly supervise and support reception/front office operations
  • Ensure professional client, vendor, and visitor experience at all times
  • Establish and maintain front desk procedures and standards
  • Train, coach, and evaluate reception staff performance
  • Serve as a resolution pillar for front office issues
  • Maintain a clean, organized, and professional office environment
  • Perform other duties as required

Operational & Administrative Support

  • Coordinate office operations, supplies, and vendor services
  • Assist with onboarding logistics and internal communications
  • Support project coordination across departments (construction, permitting, finance)
  • Maintain filing systems, records management, and documentation accuracy
  • Assist with compliance tracking and reporting requirements
  • Perform other duties as required

What you’ll need

  • 5+ years of executive administrative experience, preferably in construction, telecom, or related industries
  • Demonstrated experience with contract review, lease administration, or legal documentation
  • Experience in telecom construction or infrastructure industries – Preferred
  • Experience supporting C-level executives – Preferred
  • Knowledge of contract management systems or document control platforms– Preferred
  • Strong organizational, time management, and prioritization skills
  • Exceptional written and verbal communication skills
  • High level of discretion, professionalism, and confidentiality
  • Ability to remain composed, stoic, and solution-oriented in high-pressure environments
  • Must serve as a professional role model within the organization
  • Ability to pass a background and drug screen and comply with company policies
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint
  • Valid California Driver’s License and ability to travel locally as needed

Physical Requirements

  • Ability to sit for extended periods and work at a computer
  • Ability to stand, walk, and move within the office and occasionally at job sites
  • Ability to lift and carry items up to 20 pounds (e.g., files, office supplies)
  • Ability to bend, reach, and perform routine office tasks
  • Visual acuity for reading documents and working on a computer

The wage range for Executive Assistant is $72,000.00  - $82,000.00.
